Position Summary:

Our Meeting Planner plans and coordinates meetings, conferences, and travel for assigned Managing Directors.  Manages schedules through communication with clients, prospects and advisors regarding upcoming meetings using Microsoft Outlook and Salesforce.   The Meeting Planner must demonstrate a commitment to extraordinary client service through timely, friendly, professional and confidential responses, an exceptional work ethic and positive attitude.

Duties and Responsibilities:

Meeting management

  • Initiates/receives calls to/from prospects, clients, advisors
  • Prioritizes/schedules meeting requests
  • Organizes/coordinates multiple calendars
  • Scheduling and coordinating internal meetings and seminars

Travel arrangements

  • Planning travel itineraries
  • Making travel arrangements for out-of-town trips including; airline, hotel and ground transportation
  • Maintains travel memberships

Communication management

  • Oversees the production of appointment confirmations 
  • Issues prompt, thorough voice mails and emails to client service associates

Meeting planning management

  • Updates Salesforce with new/updated information
  • Maintains documentation of daily activities
  • Synchs meetings from Outlook to the Hub

Qualifications:

  • Ability to handle multiple tasks in an efficient and organized manner
  • Possess exceptional customer relations skills
  • Possess excellent oral and written communication skills
  • Possess excellent organizational skills with strong attention to detail
  • Proficient in MS Word, Excel and Outlook skills required
  • Ability to handle confidential matters discreetly and professionally
  • Minimum of three years customer service/administrative experience in a fast paced environment, scheduling/meeting planning
  • Associate degree in business related field or equivalent experience
