Position Summary:

An Executive Coordinator supports managers and teams by providing administrative support as well as, the coordination of special projects/reports and processing internal reports/forms.  The Executive Coordinator must demonstrate a commitment to extraordinary client service through timely, confidential responses, an exceptional work ethic and positive attitude.

Duties and Responsibiliities:

Data Management

  • Maintains various reports, logs and databases
  • Maintains updates to policies and procedures
  • Maintains client communications and updates on Lines of Credit
  • Maintains FOS Intranet site
  • Maintains update schedules

Administrative Support

  • Prepares, formats and distributes internal and external communication
  • Gatekeeper for activities
  • Compiles and reconciles expense reporting
  • Prepares agenda packets and meeting minutes 
  • Calendar management

Special Project Management

  • Creates and formats client specific illustrations
  • Reviews and profiles newly received estate planning documents
  • Assists in the tracking of goals

 

Minimum Qualifications:

  • 4-year undergraduate degree in a related field, preferred
  • 5 years relevant work experience
  • Computer proficiency in the Microsoft Suite
  • Experience with Smartsheet and MS Share Point preferred
  • Project management/coordinator skillsets
  • Strong data management skills
  • Strong analytical skills
  • Ability to work in a high stress, fast paced environment
  • Ability to work independently and in a team environment
  • Excellent written and verbal communication skills with strong interpersonal skills
